Introduction
The purpose of this guidebook is to provide you, as a collegiate chapter officer, an overview of the basic functions and specific procedures of your role. Meant to be brief in nature and instruct on officer operations, this guidebook is just a starting point. You’ll find, in your time as a chapter officer, that you will learn many skills from different places. The format was chosen to accommodate future additions and revisions. Suggestions for additional materials and sections are always welcome. Periodic updates to these materials are made by National Headquarters. Please utilize this guidebook as you plan for your goals in your officer role. We are also here for questions. Job Description
Facilitate balance in chapter programming through creation, maintenance and implementation of the chapter calendar.
Partner with the Vice President of Administration on updating the master calendar on Chapter Inc.’s Operations Actions with key chapter dates.
At the conclusion of each academic year, evaluate chapter events, in consultation with the chapter members, to determine programs that need modified, refined or implemented which positively contribute to the member experience.
Enhance each member’s college experience through education and skill development. Program, in consultation with, chapter officers and the Advisory Board.
Oversee Standing Committee Chairmen including program execution, mentorship, and officer training/transition.
Keep detailed records of events, officer meetings, chapter activities and ideas in internal chapter resources to provide to chairmen positions.
Plan a minimum of one chapter retreat per year.
Target towards a specific need of the chapter (i.e., sisterhood, conflict management, health and wellness or leadership development).
Fulfill ritualistic duties.
Attend all chapter and Executive Board meetings.
Serve as an ambassador for Delta Zeta Sorority on campus and within the chapter.
Uphold the Constitution, Sorority Policies, all appropriate Sorority procedures and chapter Bylaws and Standing Rules.
Fulfill any other responsibilities that may arise.
Complete all administrative responsibilities of your office including, but not limited to, Diamond Excellence Awards, required Chapter Inc. reporting, budgeting and expenses, officer transition and keeping a detailed record of events, activities and ideas.
Being a Member of the Team
The purpose of the Executive Board is to assist the President with the education and enforcement of Delta Zeta national policies and procedures; it acts on behalf of the chapter when decisions must be made during times when it is impossible to call chapter meetings.
The members of the Executive Board are the Chapter President, Vice President of Membership, Vice President of New Member Education, Vice President of Programs, Vice President of Philanthropy, Vice President of Administration, Vice President of Finance and the College Chapter Director.
Appointment of other chapter officers/chairmen to the Executive Board is at the option of the chapter and CCD. If your chapter is facing academic challenges, it may be appropriate to appoint the Academics Chairman to the Executive Board. The same would be true of the Risk Management Chairman in the case of policy challenges. The Chapter Bylaws should be amended to include any additional officers/chairmen appointed to serve on the Executive Board.
The Chapter President should set a time that is convenient for all members of the Executive Board, including the CCD, for a weekly meeting.
The Advisory Board
The purpose of the Alumnae Advisory Board is to assist the College Chapter Director in advising chapter officers and chairmen. Members of the Advisory Board work directly with their assigned officers/chairmen and report to the CCD. They, too, must uphold the Constitution and Delta Zeta Sorority Policies. The chapter should frequently express its appreciation to the CCD and her Advisory Board not only in words, but perhaps by remembering birthdays or other special occasions.
