Getting Started

Congratulations, and welcome to your role as a newly appointed Chapter Advisor! Below you will see individual dropdowns to your job description and a list of expected tasks for the first 60 days of your role and things to make sure you review during the year. You will also complete three online training courses in the LMS: Delta Zeta 101, an officer/advisor specific training for the role you advice, and an Advising Strategies course.

Expectations

  • Collaborate with the Regional Collegiate Director (RCD) to mentor and coach officers and advisory board members.  

  • Partner with the RCD to set and work toward goals that promote improved chapter operations, and complete good standing requirements.  

  • Work with the chapter to develop plans which include, but are not limited to, chapter Bylaws and Standing Rules, Clutch event management registration, budget submission and management and plans for recruitment, new member education and initiation.   

  • Review and approve chapter membership transactions, Bylaws and Standing Rules, reports, budget, Clutch event registrations, Billhighway responsibilities and other submissions as appropriate. 

  • Serve as Advisory Board chairman by: recruiting and appointing alumnae, overseeing training and development of advisory board members, leading advisory board meetings, promoting advisory board member accountability and fostering a team culture among advisory board members and the college chapter. 

  • Attend or designate another advisory board member to attend chapter business meetings, Executive Board meetings, initiations and chapter nominating processes.  

  • Will be expected to travel as needed to national events such as National Convention as well as regional events such as Truly Connected, as approved by National Council. 

First 60 Days 

  • Meet with the Executive Board to review expectations.

  • Complete LMS trainings.

  • Meet with Regional Collegiate Director (RCD) for training.

  • Connect with the local campus Fraternity/Sorority Advisor for an introductory conversation and update on the chapter.

  • Review and be familiar with chapter finances, status changes, calendar and upcoming events.

  • Establish a regular check-in with Advisory Board and RCD.

  • Become familiar with Chapter Inc., Member App Resources, Sorority Policies and Governing Documents.

Weekly Responsibilities at a Glance   

  • Attend Executive Board meetings.

  • Attend chapter meetings.

  • Attend any meetings per the request of the Field Team, university or national organization.

  • Communicate any necessary updates with RCD and Director of Chapter Services (DOCS).

  • Review Clutch events and coach chapter on any corrections as necessary.

  • Ensure Chapter President is attending any required meetings with the university and/or National Headquarters.

Yearly Reminders  

  • Ensure that chapter meets annual clearance by June 1.

  • Work with Chapter President to ensure that Chapter Bylaws and Standing Rules are reviewed and updated accordingly no later than October 15 annually.

  • Attend national events such as Presidents Academy and National Convention.

  • Be present during Rituals such as Initiation.

  • Assist the chapter in annual Nominations and Elections process.

  • Lead chapter Executive Board training.

Goal

To execute an academic program which supports and promotes high academic achievement by increasing overall chapter GPA, increasing academic ranking among sororities on campus and recognizing academically high achieving members. 

Expectations

  • Advise the Academics Chairman on all matters concerning academic support for the chapter and individual members.

  • Assist the Academic Chairman in designing an academic program, consistent with national policies and programs, which will motivate members to succeed academically. 

  • Serve as a resource for chapter members about academic tips, skills and resources available on campus. 

  • Work with Academic Chairman to recognize those individuals who have achieved a high GPA or made progress towards their academic goals. 

  • Ensure that all academic reporting is submitted accurately and in a timely manner. 

  • Encourage members to apply for Foundation scholarships. 

First 60 Days 

  • Complete LMS training.

  • Review chapter academic plans of support.

  • Become familiar with campus academic requirements.

  • Work with the Academics Chairman and faculty advisor to identify academic needs of the chapter/individual members, and plan accordingly.

Weekly Responsibilities at a Glance   

  • Attend any meetings or events per the request of the CCD/RCD/chapter/National Headquarters.

  • Check in with Academics Chairman to assist with projects or issues as needed.

  • Connect with CCD and Advisory Board regularly.

Yearly Reminders  

  • Participate in national programming such as CORE Training with chapter officers and advisors.

  • Ensure Academics Chairman completes necessary clearance items for her position.

Goal

To execute an alumnae relations program which will emphasize lifelong commitment to Delta Zeta and encourage alumnae involvement with the chapter. 

Expectations

  • Assist the Alumnae Relations Chairman in coordinating one major event per year between the collegiate chapter and local alumnae chapter.  

  • Assure that the Alumnae Relations Chairman coordinates with the Vice President of Programs to report all alumnae events correctly and in a timely manner. 

  • Advise the Alumnae Relations Chairman in opportunities to engage with local alumnae and Chapter Association members including, but not limited to, newsletters, social media, campus and chapter events (Homecoming, Graduation, etc.) and alumnae chapter meetings/events.  

  • Be available for any alumnae relations questions the chapter may have. 

First 60 Days  

  • Meet with the Alumnae Relations Chairman to establish goals.

  • Locate the chapter association and local alumnae list to pull when needed for chapter outreach.

  • Work with Alumnae Relations Chairman to establish a calendar of events.

  • Connect with CCD and Advisory Board regularly.

Yearly Reminders  

  • Assist in the creation of an alumnae newsletter or equivalent.

  • Assist in event planning for alumnae events.

  • Assist in outreach to alumnae as needed to chapter assistance during events (Recruitment for example).

Goal

To support Diversity, Inclusion and Belonging (DIB) Chairman and the college chapter in creating a welcoming and brave experience for collegiate members and campus partners. To cultivate a member experience rooted in belonging through appropriate chapter programming and activities.   

Expectations

  • Advise the Diversity, Inclusion and Belonging Chairman in the development of chapter programming and/or initiatives focused on diversity, inclusion and belonging related topics.  

  • Support the work of the Diversity, Inclusion and Belonging Chairman and/or committee in creating an inclusive environment for members and non-members who interact with Delta Zeta. 

  • Assure the Diversity, Inclusion and Belonging Chairman reports all chapter events and calendar activity in a timely basis to National Headquarters.  

  • Encourage chapter member participation in campus events and programs related to diversity, inclusion and belonging. 

  • Ensure that the chapter is supporting sisters and event attendees of various identities and/or in need of accommodations. 

  • Participate in the review of chapter’s Diamond Excellence Award submission and other reports as necessary. 

First 60 Days  

  • Meet with the Diversity, Inclusion and Belonging Chairman to establish goals.

  • Complete the online Diversity, Inclusion and Belonging (DIB) Course in the LMS.

  • Connect with the campus based professionals whose role is DIB to understand resources available to students.

Yearly Reminders  

  • Assist the Diversity, Inclusion and Belonging Chairman is planning and implementing creating DIB events for the chapter.

Goal

To ensure the chapter meets its financial obligations and complies with all financial policies of the Sorority.  

Expectations 

  • Assist the Vice President of Finance to comply with all chapter billing and collection procedures in accordance with the College Chapter Financial Guide.  

  • Assist the Vice President of Finance in utilizing Billhighway for all chapter accounting purposes, including the approval of chapter checks. 

  • Assist and approve the chapter budget while ensuring the chapter's budget is maintained throughout the year, including educating chapter officers and chairmen on budgetary requirements and guidelines. 

  • Assist the Vice President of Finance in enforcing individual and chapter National Sorority Policies regarding finances.

  • Ensure the chapter is executing all financial obligations found in the National Sorority Policies.

  • Ensure the Vice President of Finance is keeping up with day-to-day bookkeeping, paying bills/reimbursements, etc.  

  • Ensure the Vice President of Finance has submitted all reports in a timely manner. 

  • Ensure all financial transactions are legitimate.  

  • Participate in the review of the chapter’s reports as necessary. 

First 60 Days  

  • Activate Billhighway account.

  • Complete Billhighway trainings.

Weekly Responsibilities at a Glance    

  • Ensure transactions are coded properly.

  • Review and approve/deny load card requests.

  • Members are placed/removed from financial probation as needed.

  • Members are sent to collections in appropriate timeframe.

  • Review budget variances.

  • Connect with CCD and Advisory Board regularly.

Yearly Reminders   

  • Ensure fundraising report, for all fundraising/unrelated business, is completed. 

  • Ensure budget is submitted yearly.

  • Remind chapter to only use approved digital fund collection methods.  

  • Dues are set in Billhighway prior to the star of the year.

Goal

To ensure the chapter understands and follows the Member Accountability as outlined in the sorority policies while also focusing on the general health and wellbeing of members.

Expectations

  • Advise the Member Accountability Chairman in following the procedure outlined in the Member Accountability Manual.

  • Ensure up-to-date copies of the Constitution and Delta Zeta Sorority Policies as well as Chapter Bylaws and Standing Rules are maintained.

  • Provide education to members on the membership obligations of Delta Zeta, how to navigate interpersonal conflict, the function of the Member Accountability Process as well as the difference between a Mediation and Alternative Resolution Meeting.

  • Collaborate with the Member Accountability Chairman to assess incident reports and determine next steps in partnership with the National Member Accountability Committee.

  • Assist the Member Accountability Chairman in conducting all informal meetings and mediations in alignment with Delta Zeta’s Member Accountability Process.

  • Ensure all incidents are properly, timely and accurately reported within Delta Zeta’s Accountability database system (Guardian) including assisting the Member Accountability Chairman with writing a fact-based incident report as necessary for the Alternative Resolution Meeting.

  • Ensure all informal meetings and mediations are conducted fairly and in a timely manner and kept confidential to all new members and initiated members.

  • Coach the Member Accountability Chairman to assist her when she sits on any Alternative Resolution Meeting where she will serve as the voice of the chapter and provide relevant chapter level context.

  • Ensure detailed records of all accountability meetings are kept in accordance with Delta Zeta policy and procedure.

First 60 Days

  • Complete all training provided in the Learning Management System.

  • Read and become familiar with the Delta Zeta Sorority Policies document.

  • Read and become familiar with your local campus Student Handbook/Student Code of Conduct.

  • Read and become familiar with the Membership Accountability Chairman Guidebook.

  • Connect with your RCD to open a line of communication in the event she may be called to conduct a second Mediation.

  • Set up an introductory meeting with the Membership Accountability Chairman to ensure she understands her roles and responsibilities.

  • Assist the Membership Accountability Chairman with creating an educational presentation for the chapter outlining the Delta Zeta Accountability Process.

Weekly Responsibilities at a Glance 

  • Have a standing time to connect with the Membership Accountability Chairman regarding any incidents in the chapter that may need to be addressed through our Accountability Process.

  • Ensure all incidents are documented thoroughly and reported through the Guardian System.

  • Establish a set time in which you and the Membership Accountability Chairman would conduct any accountability meetings for members.

  • Connect with CCD and Advisory Board regularly.

Yearly Reminders

  • Properly document all policy violations to be able to note trends and themes with members incidents.

  • Assist the Membership Accountability Chairman with follow-up on member action plans that were agreed upon in Mediation or assigned through the National Resolution Team.

Goal

To provide meaningful educational experience for new members, while striving for 100 percent initiation and retention of members and ensuring a continued commitment to Delta Zeta. 

Expectations 

  • Ensure the Vice President of New Member Education properly implements the New Member Education Program as outlined in the New Member Education Guidebook and Facilitation Guide. Review the program plans before the new member period begins. 

  • Assist the Vice President of New Member Education with the planning of Bid Day, New Member Retreat or any other new member activities. 

  • Ensure all National Policy Statements are understood and followed by the new member class. Policy Statements must be read, signed and submitted prior to initiation or before the chapter’s first social event. 

  • Assist the Vice President of New Member Education with educating the new members on Delta Zeta’s Member Accountability Process.  

  • Confirm the submission of all reports, including the New Member Education Calendar and Diamond Excellence Awards. 

  • Confirm that all new members have completed all required portions of the New Member Program. 

  • Advise the Vice President of New Member Education on how to incorporate newcomers into the New Member Program as well as ways to retain new members throughout the semester. Attend new member meetings to ensure program completion.  

  • Be available to the Vice President of New Member Education, assistants and new members when needed. 

  • Serve in partnership with Delta Zeta’s New Member Education Team including the National New Member Education Committee and staff. 

First 60 Days  

  • Familiarize yourself with Chapter Inc. and LMS.

  • Ensure Vice President of New Member Education has a plan and outline complete for new member education. 

Weekly Responsibilities at a Glance    

  • Communicate with Vice President of New Member Education of needs for educational process. Ensure she is engaging a wide range of members to help with the education process. 

  • Connect with CCD and Advisory Board regularly.

Yearly Reminders   

  • Ensure Vice President of New Member Education has added pinning date, initiation date and new members to Chapter Inc. in the New Member Education calendar.

  • Double-check new members have activated accounts.

Goal

To ensure the chapter understands and follows all NPC and campus Panhellenic policies and procedures and to assist with advocating for the chapter in regards to Panhellenic matters.

Expectations

  • Advise the chapter Panhellenic Delegate and be available to provide support as need arises.   

  • Meet with the Fraternity/Sorority Advisor at the college/university at the beginning of each school year. The goal of the meeting will be to get feedback regarding Delta Zeta’s involvement in Panhellenic and issues that the Panhellenic Council will be addressing during the upcoming school year. 

  • Encourage chapter participation in Panhellenic events including, but not limited to, speakers, workshops, service projects, etc. 

  • Encourage chapter members to run for Panhellenic office. 

  • Encourage chapter participation in award applications for campus recognition. 

  • When needed, attend Panhellenic meetings where alumnae advisors are required or asked to attend.   

  • Stay up-to-date on Panhellenic activities/policy changes/programs at the college/university.  

  • Participate in the review of the chapter’s reports as necessary. 

  • Communicate with Delta Zeta’s National Panhellenic Council Delegation regarding campus Panhellenic activities in coordination with the College Chapter Director. 

First 60 Days  

  • Review local College Panhellenic governing documents.

  • Get the most updated copy of the Manual of Information (MOI) from Delta Zeta Resources App.

  • Review Delta Zeta governing documents.

Weekly Responsibilities at a Glance    

  • Review local College Panhellenic meeting minutes.

  • Connect with CCD and Advisory Board regularly.

Yearly Reminders   

  • Ensure recruitment rules are sent to Delta Zeta’s NPC delegate for review and guidance. 

Goal

To encourage philanthropy and to support the chapter’s service endeavors to foster chapter members’ understanding of giving graciously. 

Expectations

  • Assist the Vice President of Philanthropy to organize philanthropic/fundraising events to support Delta Zeta's national philanthropies, the Delta Zeta Foundation and/or local organizations in accordance with national guidelines. 

  • Ensure the Vice President of Philanthropy provides education for the chapter on Delta Zeta’s national philanthropy of Speech and Hearing and national service project.

  • Assure the Vice President of Philanthropy reports all philanthropic and service activity in a timely basis to National Headquarters and to the college/university as requested. 

  • Coach the Vice President of Philanthropy and chapter members regarding philanthropy and service best practices in order to fulfill the philanthropy and service minimum requirements. 

  • Encourage chapter participation in college/university, local community and other fraternity and sorority philanthropic and community service activities.   

  • Serve as a liaison between the chapter and alumnae service projects. 

First 60 Days 

  • Complete LMS course.

  • Meet with Vice President of Philanthropy to go over expectations, and assist her as needed.

  • Become familiar with local and national philanthropy and service partners such as Starkey Hearing Foundation, SeriousFun Children’s Network, American Society for Deaf Children and any additional partnerships the chapter has locally.

Weekly Responsibilities at a Glance   

  • Connect with Vice President of Philanthropy to check in.

  • Attend any meetings or events per the request of the CCD/RCD/chapter/national Headquarters.

  • Remind Vice President of Philanthropy to turn in donations to National Headquarters no later than two weeks following an event.

  • Connect with CCD and Advisory Board regularly.

  • Guide Vice President of Philanthropy on planning and executing philanthropy and service events.

Yearly Reminders  

  • Ensure chapter meets annual deadlines of turning in donations no later than December 1 and June 1 for chapter clearance.

  • Participate in national programming such as CORE Training with chapter officers and advisors.

Goal

To establish and maintain excellence in all areas of chapter operations and to enhance each member’s college experience through education and skill development. To develop and execute balanced chapter programming which develops leaders, encourages personal development and trains effective chapter officers.  

Expectations

  • Advise the Vice President of Programs in the development of a balanced chapter calendar. 

  • Advise the Vice President of Programs in planning at least one chapter retreat per year. 

  • Assist the Vice President of Programs in developing a balanced chapter calendar that fulfills all individual officer programmatic requirements.

  • Ensure completion of chapter programmatic reporting. 

  • Assist the College Chapter Director in facilitating an Officer Transition Workshop within two weeks of elections to ensure incoming officers’ understanding of their respective responsibilities and to assure a smooth officer transition. 

  • Provide mentoring and guidance in the area of leadership development for all members of the chapter. 

  • Encourage chapter member participation in Delta Zeta national leadership opportunities including the Norma Minch Andrisek Leadership Conference and/or National Convention as well as events such as UIFI, Leadershape, AFLV, etc. 

  • Encourage chapter member participation in campus leadership events and programs. 

First 60 Days 

  • Complete LMS Course.

  • Meet with Vice President of Programs.

Weekly Responsibilities at a Glance   

  • Check in with Vice President of Programs, and assist with upcoming events as needed.

  • Work with CCD and Vice President of Programs to ensure that chapter is submitting Clutch events for approval.

  • Attend any meetings or events per the request of the CCD/RCD/chapter/National Headquarters.

  • Connect with CCD and Advisory Board regularly.

Yearly Reminders  

  • Ensure that Vice President of Programs submits annual chapter calendar and updates as needed throughout the academic year.

  • Verify that the Vice President of Programs completes and submits Diamond Excellence Awards for the chapter.

  • Participate in national programming such as CORE Training with chapter officers and advisors.

Goal

To assist the chapter and Public Relations Chairman in executing a strong communications program to tell the positive story to Delta Zeta locally on campus and in the community through effective public relations tools, including social media. 

Expectations

  • Assist the Public Relations Chairman in designing a comprehensive public relation program. 

  • Assist the chapter in recognizing positive stories to tell and developing robust communication plans to raise awareness about various events, including philanthropy, service projects, alumnae events, etc. 

  • Serve as a resource for chapter members about marketing themselves on campus. 

  • Assist the chapter in the effective and positive use of social media.  

  • Work with chapter to share positive news of chapter member accomplishments.  

  • Participate in the review of chapter’s Diamond Excellence Award submission and other reports as necessary. 

First 60 Days  

  • Have access/login information for all chapter social media accounts.

Weekly Responsibilities at a Glance   

  • Check in with chair/ensure “coverage” of chapter events is ongoing, ensure the chapter maintains an active presence, review any new ideas with chairman.  

  • Connect with CCD and Advisory Board regularly.

Yearly Reminders        

  • Review chapter’s marketing plan/help establish marketing calendar if they do not have one.

Goal

To achieve and maintain maximum membership throughout the year, to plan for and supervise the chapter’s selection of new members, promote positive public relations and enhance Delta Zeta’s image through quality membership. 

Expectations

  • Aid the Vice President of Membership in organizing formal recruitment as well as any continuous open recruitment events.   

  • Advise the chapter on questions regarding recruitment of the highest quality members. 

  • Assist in the planning and facilitation of recruitment workshops with strong emphasis on recruitment techniques, conversations and appropriate recruitment events that best market the strengths of Delta Zeta. 

  • Work with the CCD to oversee the membership selection processes, including Invitation Committee and chapter voting. 

  • Ensure that all of the chapter’s recruitment plans are complete and that their goals are being reached. 

  • Coach the chapter in the utilization of Delta Zeta recruitment resources including, but not limited to, the Delta Zeta Member Page and MyVote. 

  • Assure the Vice President of Membership reports all recruitment activity and statistics in a timely basis to National Headquarters. 

  • Participate in the review of the chapter’s Annual Reports and other reports as necessary. 

  • Serve in partnership with Delta Zeta’s Recruitment Team including the National Recruitment Committee and staff.

  • Attend recruitment meetings on campus with the Vice President of Membership. 

  • Attend recruitment workshops and events. 

  • Participate in the review of the chapter’s Diamond Excellence Award submission and other reports as necessary. 

First 60 Days  

  • Complete Advisor Module in the LMS.

  • Establish regular calendar of meetings with Vice President of Membership. 

  • Work with Vice President of Membership to outline the recruitment team, role responsibilities and timeline for appointments/election to these roles.

  • Review past RFM and Recruitment Reports in Chapter Inc. 

  • Review Panhellenic Recruitment Rules.

Weekly Responsibilities at a Glance    

  • Connect with Vice President of Membership regularly.

  • Attend campus, Panhellenic, chapter and national meetings at they pertain to recruitment.

  • Assist chapter with COB planning.

  • Connect with CCD and Advisory Board regularly.

Yearly Reminders   

  • Ensure recruitment workshops are scheduled and planned year-round.

  • Plan Invitation Committee Training with the Head of Invitations Committee.

  • Work with Vice President of Membership on post recruitment survey of new members.

  • Work with Vice President of Membership to ensure recruitment reports are submitted in Chapter Inc. 

  • Work with Vice President of Membership or Retention Committee to establish a retention plan.

Goal

To ensure the chapter’s understanding and conduct of the Ritual and to nurture the bonds of sisterhood through support and education. 

Expectations

  • Ensure all Ritual materials are kept in proper condition. 

  • Ensure all Rituals are performed properly (i.e. all lines and songs memorized, setup is correct, atmosphere and attire is appropriate).  

  • Help the appropriate officer facilitate the Understanding Your Ritual workshop as well as any other Ritual workshops for the chapter.   

  • Help the chapter understand the importance of Ritual in our daily lives.  

  • Attend Ritual practices and events. 

First 60 Days  

  • Work with Ritual Chairman to inventory all Ritual items, and replace as needed. 

  • Work with Ritual Chairman to outline timeline for Ritual practice.

Yearly Reminders   

  • Ensure the chapter has all necessary Ritual Items. 

  • Work with chapter to host pre and post Ritual workshops for deeper understanding.
